Overview

Notion is a hosted collaborative workspace from Notion Labs, Inc. in the knowledge-management category. Everything is a page composed of blocks (text, headings, embeds, code, toggles), and pages can be rows in databases that offer table, board, calendar, timeline and gallery views with properties, filters, relations and rollups. Teams use it for wikis, meeting notes, project tracking and lightweight CRMs; individuals use it as a personal notebook and planner.

It runs in the browser and in desktop and mobile apps that cache content offline to a limited degree, with real-time co-editing, comments, page permissions and sharing to the public web. The public REST API and official SDKs expose pages, databases and blocks for automation, and integrations connect Slack, GitHub, Jira, Google Drive and more. Notion AI adds writing assistance, summarisation and question answering over workspace content on plans that include it, and the company also offers Notion Calendar and Notion Mail as companion apps.

Pricing is per member across Free, Plus, Business and Enterprise plans; a free tier covers individuals with block-count limits for collaborative workspaces. Enterprise plans add SSO, audit logs and administrative controls.

Limits to weigh: content lives only in Notion's cloud with export to Markdown, HTML, CSV or PDF rather than an open local format; offline use is partial; database queries have scale and performance ceilings compared with real databases; the API has rate limits and lags behind UI features; and the block model makes long-form academic writing with citations awkward compared with dedicated editors.

Capabilities

  • Block-based pages with rich embeds and code blocks
  • Databases with multiple views, relations, rollups and formulas
  • Real-time collaboration, comments and granular sharing
  • Templates and workspace-wide search
  • Public REST API and SDKs for pages, databases and blocks
  • Notion AI assistance and Q&A over workspace content
  • Export to Markdown, HTML, CSV and PDF

Typical workflows

  1. Maintain a team wiki with linked project databases
  2. Track research tasks in a board view synced to a calendar
  3. Automate page creation from external events through the API

Strengths

  • Flexible document-plus-database model
  • Strong collaboration and sharing
  • Broad integration ecosystem

Limitations

  • Cloud-only storage with partial offline support
  • Database performance degrades at large scale
  • Exports are not a round-trippable open format
  • API rate limits and feature lag

Prerequisites

  • Notion account; desktop or mobile app optional

Who it is for

  • Teams needing wikis and lightweight project tracking
  • Individuals organising notes and plans
  • Developers automating documentation

Alternatives & comparison

Obsidian and Logseq store notes as local Markdown files and work offline, trading Notion's databases and collaboration for ownership and portability. Craft offers a similar block editor with native Apple apps and local-first storage options. Microsoft 365 and Google Workspace provide traditional documents and spreadsheets with deeper office features but weaker linked-database models.
